Financial Aid Eligibility

Your application for financial aid was considered for all financial aid programs for which you were eligible. Eligibility is based on financial need, individual program requirements, academic progress, availability of funds and having met application deadlines. Also, certain assumptions were made as indicated on the award term detail section of your electronic financial aid notice. The financial aid awards listed cover the Summer 2007, Fall 2007 and Spring 2008 terms. Summer financial aid is processed separately and requires a separate application that is available on SOLAR (www.stonybrook.edu/ solarsystem) .

  • Accept/decline your awards online in real-time.
  • Report other aid you are or will be receiving for this academic year that is not already listed.
  • Take immediate action on any financial aid item(s) listed under "My To Do List Items" on SOLAR.

What Happens Next
  • Once you have accepted your awards through SOLAR, your accepted financial aid will appear as anticipated aid on your University account. Please note that award estimates, stipends, Federal Work Study and student-reported awards are not considered as anticipated aid.
  • Please be advised that there may still be documents that we need to receive from you. A Missing Information Notice will be sent to your home address. Missing items will appear on your SOLAR account "To Do" list. Please be sure to respond promptly in order to avoid delays or cancellation of your aid.
  • Access your up-to-date financial aid and billing information by accessing your online connection to the SOLAR System.

Federal Financial Aid Satisfactory Academic Progress

The student must maintain satisfactory academic progress. Federal regulations specify that academic progress be measured each year (following the spring semester). Eligibility for assistance from the Federal Pell Grant, Federal SEOG, Federal Perkins Loan, Federal Work-Study, and Federal Stafford Loan programs is contingent on the candidate's meeting "quality" and "quantity" standards:
  • The law specifies that by the end of the second academic year, the student must have either a minimum g.p.a. of 2.00 or academic standing consistent with the requirement for graduation from his or her program of study. Stony Brook's financial aid office follows the institutional academic standing policy and process described in the Undergraduate Bulletin, which requires all students to maintain a minimum cumulative grade point average of 2.00 to remain in good academic standing. Academic standing is reviewed at the end of each semester.
  • In addition, in order to meet federal financial aid requirements, a full-time undergraduate student in a four-year program must successfully earn a minimum of 20 credits per year in order to complete his or her program in a maximum of six years. Incomplete (I), No Record (NR), Failure (F), Unsatisfactory (U), No Credit (NC), and Academic Dishonesty (Q) grades do not count as earned credits. The student may make up credits during the summer session(s) if he or she has not earned the required number by the completion of the spring semester. However, payment for the summer courses must be made by the student.
Further information about academic progress as a condition of federal student aid can be obtained by contacting the Office of HSC Student Services. All students are required to maintain a minimum cumulative grade point average of 2.00 to remain in good academic standing. Academic standing is reviewed at the end of each semester.

Verification Process

Verification is a process similar to an audit, required by the U.S. Department of Education, in which specific items reported on your FAFSA are validated through other documents. If your application has been selected for Institutional Verification, a Missing Information Notice will be sent to your home address. Missing items will also appear on your SOLAR account "To Do" list.

Upon receipt of your documents, your file will be updated, and your financial aid may be adjusted as a result of any variances found. A revised financial aid package can be viewed on the SOLAR system if any changes are made in the amounts or awards you are receiving. Your awards will not be finalized and funds will not be released until we receive the necessary documentation and your file is verified.

Changes in Enrollment

Changes in enrollment may affect your eligibility for financial aid. Please consult with an advisor in the HSC Office of Student Services before you change your enrollment status or withdraw from the University. Aid is generally awarded based on the assumption that you will be full- time. If you enroll for less than full-time, your awards may be adjusted. In order to be eligible for a Stafford Loan, you must be enrolled for at least six (6) credits each term.
  • For financial aid purposes, undergraduate students are considered full-time with 12 or more credits, three-quarter time with 9 to 11 credits, half-time with 6 to 8 credits, or less than half-time with 1 to 5 credits. Please be aware that in order to be eligible for TAP, you must be enrolled for at least 12 credits.
  • Graduate students are considered full-time under the following conditions:
    • G1 and G3 enrolled for 12 or more credits
    • G2 and G4 enrolled for nine (9) or more credits
    • G5 advanced to candidacy and enrolled for the appropriate full-time course-load
Note: For Tap purposes or other NYS Grants, graduate students must be taking 12 credits.

In case of withdrawal from the University, federal regulations require a review of all student aid received in order to determine if the student is still eligible for the full amount. This determination is based on the withdrawal date as processed by the Health Sciences Center Office of Student Services and on the amount of time the student spent in academic attendance. After 60% of the semester has passed, students have earned 100% of the federal financial aid awarded to them. Please note that this federal refund calculation is separate and different from the refund calculation of institutional charges done by the Bursar's Office.

Bookstore Campus Account

The Bookstore Campus Account is a prepaid, taxable debit account. This account offers the convenience of purchasing textbooks and school supplies in the University Bookstore and Matthew's HSC Medical Bookstore by using your University ID card. This plan is charged to your student account and may be deferred against financial aid or paid in monthly installments using the University's Time Option Payment Plan (TOPP). Payments and Anticipated Aid

All students, after registering for classes, will be sent a billing statement at their permanent home address with instructions for making payments. Each billing statement will list University charges less any anticipated aid. Anticipated aid is any award that has been accepted but has not yet been disbursed to your University account. Please note that award estimates, stipends, Federal Work-Study, and student reported awards are not recorded as anticipated aid. Only charges for tuition, fees, campus room and meal charges (not charges for graduate campus apartments), and Bookstore Campus Account may be covered by anticipated aid. In addition, anticipated aid that is not disbursed after a period of time will expire and will no longer be taken into account against any outstanding university charges.

If the current bill does not reflect anticipated aid, you must pay the amount due by the date indicated. If financial aid is received after the bill is paid, you will receive a refund. Failure to apply for financial aid in a timely manner does not relieve you from the obligation to meet all payment deadlines or late payment fees. All university charges for tuition, fees, room and meals must be paid in full before you are allowed to register for classes for the next term.

Time Option Payment Plan

In addition to financial aid, Stony Brook offers the Time Option Payment Plan (TOPP). This program allows you to make equal and consecutive payments throughout the term, rather than paying the total balance of the bill. Enrollment forms for TOPP will be sent with the student's first billing statement and are also available on the Bursar/Student Accounts website (www.stonybrook.edu/ bursar).

Financial Aid Disbursements and Refunds

Disbursement of most federal and institutional awards at Stony Brook begins the first day of each term, while disbursement of New York State awards occur after 100% tuition liability (5th week of the term). If personal payment and/or financial aid funds fully cover the cost of tuition, fees, and other direct costs, and your financial aid is properly credited to your account, the Bursar's Office will refund any excess funds to you. Please note that refunds will be available after the semester starts.
